This position is Full Time and will report to the Executive Director/COO and Senior Director, Business Development & Operations and will be responsible for but not limited to below activities: Provide administrative support to the Executive Director/COO and Senior Director, Business Development & Operations with duties including: answering phones, scheduling/calendar management, organizing travel and itineraries, as well as answering general Foundation inquiries and forwarding on to appropriate parties. Support all executive staff with planning Foundation events, including studio openings, fundraisers, internal board meetings and summits. Assist with Salesforce CRM database maintenance, understanding what it tracks, and how it is organized. Maintain active Seacrest Studios hospital rosters. Assist with donation receipts and thank you letters. Expense/invoice processing responsibilities including monthly AMEX, expense reimbursement, check deposits and receipt organization. Assist with internal/external meeting preparation including conference room and audio-visual setup. Help create all corresponding collateral materials and agendas. Take detailed minutes notes.
